
GroupWise Archive
We appreciate the effort everyone is making to reduce the amount of
e-mail on the GroupWise (GW) server. Continued management of your account through archiving and deletion of items in your Mailbox, Sent Items folder, Cabinet and Trash is critical in keeping GroupWise working efficiently. Remember that moving e-mails into folder(s) in your Cabinet does not free up space on the GroupWise server, it only organizes the e-mail in your Mailbox. Also, every message you send, reply to or forward is kept in the Sent Items folder.
We recommend that all GW users archive their e-mail on a regular basis to their D drive. Your archive is easily accessible and only a mouse click away. We also recommend that you regularly backup your GW archive to a floppy, zip disk or CD. Your archive will always be available if you back up on a regular basis. Archive is not viewable from web access.
Due to the critical shortage of space on the GroupWise server, existing graduate student and part-time instructor accounts will have a quota of 100MBs of space. In the future, justification will be required before an account will be created for any student because they are given an e-mail account through the University. Instructions on how to archive to your D drive are as follows.
NOTE: If you share the computer with other users, you must be careful to insert your userid when creating the GW archive.
Steps to archive e-mail -
- Create a directory on your "D" drive (suggested name is "GWArchive"). If you are sharing a computer, then we suggest D:/your_userid_GWArchive.
- Open GroupWise.
- Go to Tools, Options.
- Double-click Environment.
- Click the File Location tab.
- In the Archive Directory text box type: D:/GWArchive or D:/userid_GW Archive.
- Click OK.
To archive an item in your Mailbox -
- Right click on the item.
- Select Archive.
- The item will be stored in your GWArchive folder on your "D" drive.
To archive multiple items in your Mailbox -
- Hold down the Ctrl key and highlight the items you want to archive.
- Right click on the highlighted area and select Archive.
To archive items in your Cabinet -
- Open a folder.
- Highlight the item(s) you want to archive.
- Right click and select Archive. (GroupWise will create the folder automatically for you.)
To see archived items -
- With GroupWise open, click File, Open Archive.
- Archive will appear in the title bar.
- To return to your Mailbox, click File, Open Archive.
To retrieve archived items -
- Highlight the archived item(s).
- Right click and select "Archive" which has a check mark next to it. This will return it to the original location.
